Terms & Disclaimers

These terms apply to all bookings and services provided by Rock Box Nation ("we," "us," or "our"). By booking us or paying a deposit, you ("the client") agree to the terms and disclaimers below. Nothing here is intended to be legal advice; it simply sets clear expectations so your event runs smoothly and safely.

Our Services

Rock Box Nation provides mobile DJ, sound, lighting, MC/announcement, and event-entertainment services from our enclosed audio trailer, primarily for outdoor events across Philadelphia, Delmarva & New Jersey. Exact services depend on the package and add-ons you book.

Booking & Deposits

• A deposit is required to reserve and confirm your date. Your date is not held until the deposit is received.
• The remaining balance is due on or before the event date, as stated in your booking.
• Prices shown on our website are starting estimates and may vary based on location, travel, date, and event specifics. Your confirmed quote is the governing price.

Cancellations & Rescheduling

If you need to cancel or reschedule, contact us as soon as possible and we'll do our best to work with you. Deposits hold a specific date and reserve our equipment and crew for that day; deposit refundability and reschedule options will be confirmed in your booking details. Severe weather and emergencies are handled case-by-case (see Weather below).

Power & Electrical — Client Responsibility

Our standard setup runs on ordinary household electricity — at least one grounded, standard 120-volt outlet on a normal 15–20 amp circuit. Most of our rigs draw well under 10 amps and run comfortably from a single dedicated outlet. Our largest full-festival Platinum setups may require a second circuit or a dedicated line, which we'll discuss with you in advance.

• The client is responsible for arranging reliable, properly grounded power within a reasonable distance of our setup area. If you're unsure what's available, tell us on the booking form and we'll plan it together.
• If no suitable power is available on site, a generator can be arranged (by you or, when possible, by us for an added fee). Generators must be sized correctly and safely placed and ventilated.
• We are not responsible for power outages, brownouts, tripped breakers, faulty wiring, blown circuits, or any interruption or damage caused by the venue's electrical supply, generator, or extension of power that is outside our equipment. If the venue loses power, our ability to perform may be limited through no fault of our own.
• We are not responsible for the condition, safety, or code-compliance of the venue's outlets, wiring, panels, or structures we are asked to plug into. If a connection appears unsafe, we reserve the right to decline to use it.

Venue, Setup & Site Conditions

• The client is responsible for securing any required permits, permissions, or authority approvals to hold the event and to have amplified sound at the location (for example, HOA, park, school, municipal, or property-owner approval).
• The client must provide safe, reasonable access for our trailer and equipment, and a stable, weather-appropriate area for setup.
• We are not responsible for damage to lawns, driveways, flooring, or property that results from normal equipment placement, vehicle access, or conditions of the site itself.
• Any noise ordinances, curfews, or venue rules are the client's responsibility to communicate to us in advance; we will comply with reasonable limits when informed.

Special Effects, Lighting & Guest Safety

Some of our equipment and optional add-ons produce effects that a small number of people may be sensitive to. By booking, the client agrees to inform their guests as appropriate and understands the following:

• Flashing & strobe lighting. Our lighting may include moving, flashing, or strobe effects. In rare cases, flashing lights can affect individuals with photosensitive epilepsy or light sensitivity. If any guest is known to be sensitive, let us know in advance and we can reduce or turn off those effects.
• Fog, haze & dry-ice / low-fog effects. When requested, fog, haze, or dry-ice-style effects may be used. These can affect people with asthma, respiratory conditions, or sensitivities, and can trigger smoke or fire alarms indoors. Dry ice must be handled and ventilated properly. We use these effects only when requested and when the space allows for safe ventilation.
• Volume. Live events involve amplified sound at levels intended to fill an outdoor space. Guests who are sensitive to loud sound should position themselves accordingly.
• The client is responsible for making guests, staff, and the venue aware of these effects where relevant. Rock Box Nation is not liable for reactions, medical conditions, or sensitivities of attendees to lighting, fog/haze, volume, or other standard entertainment effects.

Weather

Because we specialize in outdoor events, weather matters. The client is responsible for providing adequate cover or shelter for our equipment and crew when needed (tent, canopy, covered area, etc.). We reserve the right to pause, delay, relocate, or stop performing if conditions become unsafe for people or equipment (lightning, high wind, heavy rain, extreme heat). We are not responsible for weather-related interruptions beyond our control, and we'll always work with you in good faith when weather affects an event.

Equipment & Conduct

• Our equipment remains our property at all times. The client is responsible for any loss or damage to our equipment caused by guests, staff, or unsafe site conditions during the event.
• We reserve the right to stop performing, without refund, in cases of threats to safety, harassment of our crew, illegal activity, or refusal to follow reasonable safety requests.

Payments

Deposits and payments are processed securely through Square. We do not see or store your card or bank details. Please review our Privacy Policy for how your information is handled.

Limitation of Liability

To the fullest extent allowed by law, Rock Box Nation's total liability for any claim related to a booking is limited to the amount actually paid to us for that event. We are not liable for indirect, incidental, or consequential damages, or for circumstances outside our reasonable control (including power supplied by the venue, weather, permits, or the acts of guests or third parties).
